Who we are

Wilson Boys Aquatics Booster Club (“WBA,” “we,” “us,” or “our”) supports the Woodrow Wilson High School boys water polo and swim teams.

This Privacy Notice explains how we collect, use, share, and protect information in connection with wilsonboysaquatics.com (the “Site”) and our fundraising, communications, events, and online shop.

What we collect

We collect information you voluntarily provide and certain data automatically:

  • Newsletter sign-ups: first name, last name, email, and your relationship to WBA (parent, alumni, or general audience).

  • Donations and purchases: name, email, mailing and billing addresses, and transaction details (amount, items, date). Payment card data is handled by our payment processors (we do not store full card numbers).

  • Event and interest forms: information needed for a given program or event (e.g., attendee names, email, phone, RSVP details, volunteer interests).

  • Images and content: photos or media you submit or permit us to use.

  • Automatic data: IP address, device/browser info, and general usage data via cookies and similar technologies (see “Cookies” below).

Student information

Official student records are maintained by coaches and/or the school. WBA does not collect student records; however, we may have access to team rosters (including contact information) strictly to support team operations (e.g., logistics, communications). We do not use roster information for marketing without appropriate permission.

How we use information

We use information to:

  • Send updates, newsletters, and fundraising communications (you can unsubscribe anytime).

  • Process donations, purchases, and event registrations and provide receipts/support.

  • Coordinate volunteers and events.

  • Operate, secure, analyze, and improve the Site and our programs.

  • Comply with legal, tax, and audit obligations.

How we share information

We do not sell personal information. We share information only as needed to operate our programs:

  • Service providers / processors: Squarespace (website/hosting), MailerLite (email), Google (analytics/aggregations, Google Drive/Business tools), Zeffy and Stripe (donations/payments), and merchandise partners involved in order fulfillment.

  • Disallowed sharing: We do not share our email list or customer data with Wilson High School or LBUSD.

  • Legal / safety: We may share information if required by law or to protect WBA, our users, or others.

Your choices

  • Email: Unsubscribe using the link in any newsletter or email us at info@wilsonboysaquatics.com.

  • Cookies: Manage cookies in your browser settings (see “Cookies”).

  • Photos or content removal/adjustment: If you believe we have posted content (including images of a minor) you wish to adjust or remove, please submit a request via our Contact page. We will coordinate with coaches as needed to verify and act on your request.

Cookies and tracking

We use cookies and similar technologies for core functionality and analytics.

  • Functional cookies: required for the Site to work (Squarespace).

  • Analytics: Squarespace Analytics and/or Google Analytics may collect aggregated usage data (e.g., page views, referrers).

  • Embedded media and social: Instagram and YouTube embeds, as well as Google services, may set their own cookies when you view embedded content.

You can block or delete cookies through your browser. If you disable certain cookies, the Site or embedded content may not function properly. We currently do not respond to “Do Not Track” signals.

Data retention

  • Donations/purchases: retained at least seven (7) years for tax and audit purposes.

  • Email and forms: retained while you are subscribed or active, and then for a reasonable period for recordkeeping or to comply with law.

  • Photos/content: retained while relevant to our programs or until you request removal and we verify and process that request.

Security

We implement reasonable administrative, technical, and physical safeguards appropriate to a volunteer-led nonprofit. No method of transmission or storage is 100% secure.

Children’s privacy

The Site is directed to parents, alumni, and supporters—not children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided information, contact us via the Contact page so we can address it.

International visitors

We are based in the United States and use service providers that may process data in the U.S. and other countries. By using the Site or providing information, you acknowledge these transfers.

California notice (CPRA)

Although WBA is a nonprofit, we strive to honor California privacy principles:

  • We do not sell or share personal information for cross-context behavioral advertising.

  • California residents may request access to or deletion of personal information we maintain, subject to legal exceptions (e.g., tax/audit records). Submit requests to info@wilsonboysaquatics.com or via the Contact page. We may need to verify your identity and our response may be limited where exemptions apply.

EU/UK notice (GDPR)

Where GDPR applies, our legal bases include:

  • Consent (e.g., marketing emails, optional forms).

  • Contract (e.g., processing donations, purchases, event registrations you request).

  • Legitimate interests (e.g., program operations, Site security, basic analytics), balanced against your rights and expectations.

Subject to limits and applicable law, you may have rights to access, correct, delete, or restrict processing of your data, and to object or withdraw consent. To exercise rights, email info@wilsonboysaquatics.com or use the Contact page.

Third-party links and embeds

The Site may link to or embed third-party services (e.g., Instagram, YouTube, Zeffy). Their practices are governed by their own privacy policies. We encourage you to review those policies.
